How to choose hr & payroll software in Bangladesh
Map your payroll before you compare
List every part of your salary structure: basic, house rent, medical and conveyance allowances, overtime, attendance bonus, the two festival bonuses, provident fund, loans and advances, and tax deducted at source. Then list your employee types, such as permanent staff, probation, contract workers and daily-wage workers. Ask each vendor to configure your real structure during the demo rather than showing a generic one.
Labour law, leave and holidays
Leave types, holiday calendars and overtime calculations should follow the Bangladesh Labour Act and your own company policy. Check that the software lets you set casual, sick, earned and maternity leave rules, carries balances forward correctly, and handles the government holiday calendar, including holidays that depend on the moon sighting and are confirmed late.
Factories and companies with shift work should test night shifts, weekly holidays that differ by department, and roster changes.
Attendance from the devices you have
Many offices and factories already use fingerprint or face attendance machines. Ask which device brands and models the software can read, whether it pulls data automatically, and what happens when a device is offline for a day. For field staff, a mobile app with location check-in may suit better; check that it works on lower-cost Android phones and with weak data.
Salary tax and reports
Employers deduct income tax from salaries and need records for returns and certificates. The software should calculate the deduction from each employee's taxable income, let your accountant adjust it, and produce the reports your tax advisor needs. Tax rules change with each budget, so ask how quickly the product was updated last year and whether updates are included.
Paying salaries
Check whether the product produces a bank advice file in the format your bank accepts and supports salary disbursement to bKash, Nagad or other wallets if your workers prefer that. Payslips should be available to employees on their phones, in Bangla if your team prefers it.
Privacy, access and support
HR data is sensitive: salaries, national ID numbers, bank details and medical leave. Ask where data is stored, who at the vendor can see it, and whether you can limit what each manager sees. Make sure you can export employee records and payroll history at any time.
Payroll runs to a deadline, so prefer a vendor with local phone or WhatsApp support during your payroll week, and ask whether they help with the first two or three payroll runs.
- Run a parallel payroll for one month and compare totals
- Test a mid-month joiner and a resignation with final settlement
- Check payslips on a phone
- Export the full payroll register to Excel
Mistakes we see employers make
Many companies move to HR software and keep the same spreadsheets running beside it, which doubles the work and creates two versions of the truth. Decide a go-live month and stop the old process once a parallel run matches. Another common problem is leaving manager permissions too open, so that team leads can see everyone's salary. Set roles carefully before inviting managers.
Finally, involve employees early. If payslips, leave requests and attendance corrections are easy on a phone, people will use the system and HR will spend less time answering the same questions every month. Ask the vendor for a short Bangla guide for staff, or check whether one is built into the app.
